How to Make an ATS-Friendly Resume in 2026 (Complete Guide)

Before a recruiter ever sees your resume, software sees it first. An Applicant Tracking System (ATS) scans, parses and ranks every application — and studies consistently show that around 75% of resumes are filtered out before a human reads a single line. If you're applying and hearing nothing back, your resume format is the first suspect.

What an ATS actually does

An ATS converts your resume file into structured data: name, contact details, work experience, education, skills. It then matches that data against the job description. Two things break this process:

  • Formatting the software can't read — text inside images, tables, headers/footers, multiple columns that scramble reading order, or decorative fonts.
  • Missing keywords — if the job asks for "SQL" and "stakeholder management" and your resume never uses those words, you rank low no matter how qualified you are.

The 10 rules of an ATS-friendly resume

  1. Use standard section headings: Summary, Work Experience, Education, Skills, Certifications. Clever headings like "Where I've Been" confuse parsers.
  2. Keep the layout simple: one or two clean columns, no text boxes, no graphics carrying information.
  3. Submit a PDF with real text — never a scanned image or a screenshot. Test it: if you can select and copy the text, an ATS can read it.
  4. Mirror the job description honestly: if the posting says "REST APIs", write "REST APIs" — not just "backend interfaces".
  5. Put skills in a dedicated section — 6-12 concrete skills the ATS can match one-to-one.
  6. Use standard date formats like "Mar 2022 — Present" on every job.
  7. Start bullets with action verbs: led, built, reduced, launched, improved.
  8. Quantify results: "cut load time by 40%", "handled 200+ tickets monthly". Numbers survive parsing and impress humans.
  9. Spell-check ruthlessly — "Experianced" is invisible to a keyword match for "experienced".
  10. Keep it 300–800 words — one page for freshers, maximum two for senior roles.

How to check your resume against an ATS

Don't guess — test. GoodProfile's builder includes a free ATS score checker: it grades your resume on contact details, sections, action verbs, quantified results and length, and when you paste a job description it shows exactly which keywords match and which are missing. Fix what it flags, watch the score climb, then apply.

Frequently asked questions

Do fancy templates fail ATS scans?

Well-built ones don't. The problem is templates that put text in images or scramble reading order. Every GoodProfile template exports as real selectable text, so the design you see is fully parseable.

Should I stuff keywords in white text?

No. Modern systems detect it, and the recruiter who opens your resume sees the trick. Match keywords honestly — if you genuinely lack a required skill, that job isn't your match.

One page or two?

Freshers and early-career: one page. 8+ years of experience: two pages is fine. Never three.
